Your assistant can find the meeting, list its past instances, read who was on it, and pull the recording files, which include the transcript as a separate file with its own download link. Reading the transcript is how you get the answer out of the record rather than out of your memory. Where your account also generates a meeting summary, it can read that alongside and check it against the transcript. It reads and changes nothing.

Never without. Know why the record is empty before you conclude nothing was said. Cloud recording has to have been switched on for a transcript to exist, the summary route needs a paid plan and is refused outright on end-to-end encrypted meetings, and a meeting with no record looks exactly like a meeting where nothing happened.

The assistant can list your scheduled meetings, open any of them for length, recurrence and participants, and read the account's usage report for what already happened. Asked to add it up, it can tell you how many hours are committed, how much of that is recurring, and which blocks are back to back. Filtering by topic happens after the pull, since Zoom does not filter meeting text server-side.

What you end up with. An hours count for the week ahead with the recurring commitments separated from the one-offs, and the specific meetings behind each number.

Never without. Check the time zone on the answer. Zoom stores meeting times against the host's setting, and a total built across hosts in different zones will be quietly wrong at the day boundaries.

For webinars these are two different reads and they return two different lists. Registrants are the people who filled in the form; participants are the people who were there. The assistant can pull both, compare them, and tell you the no-shows and the people who attended without registering, which is the pair of lists that follow-up actually needs.

What you end up with. Two named lists, attended and registered-but-absent, ready to hand to whoever is doing the follow-up.

Never without. Confirm the webinar had registration turned on. The registrant endpoint only returns anything for registration-based webinars, so an empty registrant list can mean nobody registered or that registration was never required.

It can create meetings with the topic, time, duration, recurrence and settings you describe, look up colleagues by name or email in the company directory to add them, and update a meeting later when something changes. Registration-based meetings can have registrants added directly. The host start URL it returns expires in two hours, so treat that as a link to use now rather than a link to save.

What you end up with. The meetings on the calendar with the right people, the right recurrence and the right settings, created from a description rather than a form.

Never without. Give it the time zone explicitly and read back the created times before anyone is invited. A recurrence rule that is one day off repeats the mistake for as long as the series runs, and everyone invited sees each correction.

Registrants can be added one by one through the connector, so a list of names and emails from anywhere else can be pushed into a webinar without retyping. The assistant can resolve internal people against the company directory first so the details match your records. Registration is a real action on Zoom's side and each registrant is treated as having signed up.

What you end up with. Everyone on your list registered for the webinar, with a report of the addresses Zoom rejected and why.

Never without. Confirm the list is people who asked to attend, and check the webinar's approval and confirmation settings first. Registering someone can send them a confirmation email immediately, which turns a data-entry mistake into a message from you to a customer.

Deleting a meeting and updating one are both available, and for a recurring meeting the connector can target a single occurrence rather than the whole series. Notification options let you control whether hosts and registrants are told. Deleting is the irreversible half of this, so it is the half worth watching.

What you end up with. The old slot cleared and the new one booked, with the right people notified once rather than twice.

Never without. Require an occurrence ID whenever a recurring meeting is being canceled, and approve the specific meeting ID first. Deleting a recurring meeting without an occurrence ID removes the entire series, the deletion cannot be undone, and registrants can be notified of the cancelation as it happens.

The assistant can list every cloud recording on the account and read which meeting each one belongs to, when it happened, and which files that meeting produced, so you can see what is sitting there before anything happens. It can then delete recordings, either a whole meeting's set or an individual file such as one transcript or one audio track. The permanent form of that delete cannot be recovered.

What you end up with. A reviewed inventory of the cloud recordings on the account by meeting and date, and the specific recordings you approved actually gone.

Never without. Approve recordings by meeting topic and date, not by a rule like older than ninety days, and download anything with a retention or legal hold on it first. Permanent deletion of a Zoom recording file cannot be reversed, and the transcript is a separate file that can be removed on its own without the video looking any different.
