Which deals have gone quiet? No prior practice needed

The assistant can pull your open deals, then check each one against the activity around it: logged calls, meetings on the calendar, and emails recorded on the record. A deal sitting in a mid stage with nothing against it for weeks is a different problem from one that closes next Friday, and this is the read that separates them.

What you end up with. A list of open deals ranked by how long since anything real happened, with the last activity date and what it was.

Tasks and meetings both live in Zoho CRM as their own modules, and the assistant can search them by owner, due date, status, or priority rather than making you read a list. It can also resolve who you are, so you can ask in the first person and get your own work back instead of the whole team's.

Never without. Say which time zone you mean. Zoho stores event times against the record owner's setting, and a week boundary read in the wrong zone quietly drops the Monday or adds the Sunday.

Can it write up my call notes into the record instead of me doing it later? Assumes some practice with AI

You talk or paste, the assistant finds the right contact or deal, and writes a note onto that record where the rest of the team can see it. Notes in Zoho are attached to a specific record, so getting the record right matters more than getting the wording right. Have it read back which record it picked before it writes.

Never without. Confirm the record ID it chose before the note is written. A note landing on the wrong contact is visible to everyone and there is no delete-note action in the connector, so the fix is manual cleanup in Zoho.

Can it draft the follow-up email without sending it? Assumes some practice with AI

Zoho CRM lets an assistant create an email draft attached to a record. The draft is saved and not sent, so it sits in the record waiting for you to read it and press send yourself. The assistant can read the previous email history on the record first, so the draft picks up where the last exchange left off, and it can revise the draft as many times as you want.

What you end up with. A follow-up drafted against the record, informed by what was already said, waiting on your send.

Never without. Check which from address it used. Zoho offers organization addresses, your own, and aliases, and a customer reply routed to a shared mailbox nobody watches is the same as no reply at all.

Can it get new leads into the CRM instead of them sitting in my inbox? Assumes some practice with AI

The assistant can create a lead from whatever you hand it, a forwarded inquiry or a note from an event, with last name being the only field Zoho insists on. The part worth setting up properly is the search it runs first, because Zoho will happily hold three copies of the same person, and a search on email or phone before the create is what keeps that from happening.

What you end up with. New inquiries in the CRM as leads with the source and the context filled in, and no duplicate where one already existed.

Never without. Make the duplicate search a required step and tell it what to do on a match, update or leave alone. Also decide who owns the lead, because a lead created through your connection is assigned to you by default and assignment rules are what feed the rest of your process.

Can it keep deal stages and meetings current after a call? Assumes you have done this kind of handover before

Stages, amounts, close dates and meeting details are all writable, so the housekeeping that normally waits until Friday can happen while you still remember the call. Only the fields you name get changed and the rest are left alone. Ask for the before and after values on anything it touches.

What you end up with. Deal records and calendar entries that match what was actually agreed, updated the same day, with a list of every field changed.

Never without. Know which of your workflow rules fire on a stage change before you let this run. In Zoho a stage update can send a customer email, reassign the owner, or start an approval, and the assistant sees none of that happening.

Can it clean up the duplicate contacts? Assumes you have done this kind of handover before

The assistant can search the Contacts module by email, phone, or keyword, read the candidates side by side, and delete the ones you mark. The useful version of this is mostly the reading: it shows you which copy has the real history on it. Zoho's own documentation for the delete action says it cannot be undone and that related data goes with it.

What you end up with. A reviewed list of suspected duplicates with the differences called out, and only the copies you approved removed.

Never without. Read the related records on each copy before approving any deletion, one record at a time. Zoho states that deleting a contact is irreversible and takes the associated subforms and related data with it, so the notes, emails and attachments on the copy you thought was empty go too.

What we could not establish
  • This connector covers Zoho CRM only. Zoho sells more than fifty other products, and Mail, Books, Desk, Projects and Creator are not reachable through it, so nothing here applies to them.
  • There is a delete action for accounts as well as contacts, and Zoho describes both as permanent. Deleting an account can strip the parent from every contact and deal filed under it, and we could not establish from the connector what happens to those children, so we have not written it as a candidate.
  • Custom modules are reachable through the generic record actions, and the module and field metadata actions will list what your org has defined. What those custom fields mean, and which ones your reporting depends on, is specific to your setup and is not something a published page can tell you.
  • No time saving is claimed for any candidate on this page, because none has been measured.
